Location: Bristol, UK – Onsite

Reports to: Executive Assistant to Directors

The Role

We are looking for a proactive and highly organised Office Administrator to support the smooth running of our client’s day-to-day operations. Working closely with the Executive Assistant to Directors, the successful candidate will provide essential administrative and facilities support across the organisation.


Key Responsibilities

  • Manage and coordinate travel bookings, including international arrangements, accommodation, and local transport
  • Prepare meeting spaces and organise refreshments for on-site meetings and client visits
  • Greet visitors and coordinate hospitality arrangements as required
  • Maintain stock levels of office supplies and consumables, ensuring timely reordering
  • Assist with office layout planning, desk setup, and moves, including support during periods of expansion
  • Keep IT equipment records and asset tracking systems up to date
  • Sort and distribute incoming post and deliveries
  • Provide general administrative support across office operations, facilities, and health & safety functions
  • Support staff offboarding processes, including equipment return and organising farewell arrangements
  • Manage the signing process for visitor NDAs
  • Assist with planning and coordination of internal social and team events


Key Skills and Experience

  • Previous experience in a similar office-based administrative role
  • Excellent organisational skills and the ability to manage multiple tasks
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Strong attention to detail and ability to work with minimal supervision
  • Discreet, professional, and trustworthy when handling sensitive or confidential information
  • A proactive approach with a positive, can-do attitude
